How it works

One rally. Two sides.

Every rally gets a private area for the people running it and a public page for the people coming to it.

For the committee, the wardens and the treasurer

  • Tasks and reminders dated from the rally, so "8 weeks before" moves when the dates do.
  • Documents with expiry dates: the site agreement, insurance, exemption certificate and risk assessment.
  • Attendee list and check-in: unit type, EHU, dogs and emergency contacts, ticked off on a phone as each unit arrives.
  • Receipts and rally accounts: snap a receipt, the treasurer approves it and you get a statement at the end.
  • Handover notes for each venue, so next year's warden doesn't start from scratch.
Rally page: for attendees

Everything attendees need, on one link

  • Location and directions, with the postcode, what3words and a "don't follow the sat nav" note for large vans.
  • Arrival times, site rules and facilities: water, Elsan point, EHU and bins.
  • Programme and local attractions: the pub, walks, shops, fuel and LPG.
  • Documents to download and one-tap add to calendar.
  • Updates by email and notification. It still opens in a field with no signal.

Questions

Good to know.

Do attendees need to download an app or create an account?

No. The rally page is a normal web link that works on any phone, tablet or computer. Attendees can add it to their home screen if they like, and it will then open with no signal.

Is this for motorsport rallies?

No. RallyWarden is built only for caravan, motorhome and camping club rallies: meets in a field, not special stages.

Where is our members' data kept?

UK hosting and club-controlled retention are planned for the finished product. This preview does not collect rally attendee data. Pilot enquiry details are processed and stored by Formspree and forwarded through the DLJ Software contact form, separately from the planned rally system.

Does it replace our membership system or bookings?

No. It sits alongside your membership system. You can import attendees, add them by hand or use a simple sign-up form on the rally page. Online payments are planned for a later release.

Our wardens aren't very techy. Will they cope?

That's who we design for. It uses large text, plain English and one job per screen, and you can copy last year's rally in a few taps. Printable lists are always there for anyone who prefers paper.
